When spreadsheets stop working
A sheet is fine until more than one person must trust it, and the history must survive a handover.
Spreadsheets are excellent for a person tracking their own list. They fail when several roles submit, someone else must approve, and the organisation needs the record next year when that person has left.
The signs are familiar: versions in WhatsApp, a master file on one laptop, names retyped into another form, and nobody sure which total is current. That is not a training problem. The tool has no roles, no queue, and no single source of truth.
Custom software is justified when the workflow is specific and repeated — registrations, departmental reports, membership, bookings — not when a simpler shared sheet would do.
